How To Calculate Billing
- Go on the main menu, choose "Billing" and choose "Calculate Billing and Payroll".
- Click the following:
- Billing (vs. Payroll)
- Date Range (you can set the start date far into the past to pick up any unbilled visits from the last cycle).
- Click "search for billable items"
Check the box next to the items you would like to bill (the top check box will select all).
Check the box next to "view after creation"
Click "create invoice"
NOTE
- We will never bill for the same visit twice
- Therefore, you can set the start date for the billing period to an earlier date if needed
- Preview the closed visits and scan for issues such as a zero rate and then investigate.
Possible issues are:
- Visit times were not correct (would normally result in a magnifying glass on the screen).
- A new service type was introduced and there was not a rate associated.
- For payroll (which is essentially the same process) a new caregiver didn't have a pay rate.
- Once fixed, use the recalculate button and it will pick up any changes.
- Once the preview is good, press "Create Invoices"
NOTE
- Checking the box that says "View After Creation" allows you to see the invoice on the "created invoice screen"
Go to Billing from the main menu and then Billing Report (Patient)
Calculate
- On the "Billing Report (Patient)” Screen we can view the invoices as PDFs.
- Note also that there's an option "view all as PDFs" that will make a consolidated PDF for you to review on line or print.
- If you see something wrong, we recommend the following approach:
- Cancel the invoice(s) that has errors.
- To cancel a single invoice, there's a cancel button on the right.
- To cancel many invoices (or all) use the check boxes on the left and press the "cancel" button below.
- Go back and fix the errors. For example:
- go into the visits tab and adjust times or other factors.
- If the rate was not set or incorrect, then fix the billing (or payroll) rate and recalculate, then recreate the invoice.
- Cancel the invoice(s) that has errors.
- Once your "draft" invoices meet your expectations, you can move them to "Complete" (either one by one or grouped together).
- To do one at a time, press the "complete" link on the right.
- To mark many (or all) as complete, select their check boxes on the left and press "complete" down below.
